ReShare supports the ability to fill a multi-volume request by associating more than one item with a filled request. This functionality allows libraries to fill requests for a single title that includes multiple volumes. At this time, this function does not explicitly support requests for multiple copies of the same title.

Placing a multi-volume request

Multi-volume requests can be placed by library patrons using a discovery tool or by library staff using the ReShare interface. To place a multi-volume request, the user can simply enter the volumes they want to request into the “Volume” field.

Filling a multi-volume request

To fill a multi-volume request, complete the following steps.

1. Print the pull slip for the request you want to fill, then retrieve the physical volumes from your library’s shelves.

2. Open the request you want to fill. It should be in the “Searching” state.

3. Select “Fill multi-volume request.” This will bring up the multi-volume request modal.

4. Click “Add volume,” then scan the item barcode of the first volume. Repeat this step as many times as needed for each volume being supplied.

5. Fill in the “Label” field for each volume scanned. This is a plain text field that is intended to provide a human-readable label for each volume. You can simply enter the volume number or enter additional text to help identify the volume.

6. Click “Fill multi-volume request.”

7. You may wish to print additional copies of the pull slip to attach to each of the volumes.

Adding or editing volumes

You may continue to add or edit volumes using the “Fill multi-volume” request action as long as the request has not shipped. Note that you cannot edit a volume that has already been successfully checked out in your host LMS.

1. Click “Add volume” to add another volume.

2. Click the trash can icon to remove an item that has not yet been checked out.

NCIP check out

If you have the NCIP check out item integration enabled, ReShare will check out all volumes to your designated institutional patron account when you fill a multi-volume request. The “Status” indicator will tell you if the NCIP check out has succeeded or failed for each item.

• If all items are successfully checked out, the request will be transitioned to the “Awaiting shipping” state and may be shipped at any time.

• If one or items fail to be checked out, the request will remain in the “Searching” state until the problem has been resolved.

  • You may use the editing function described above to fix or remove the problematic volumes.

  • A separate line will appear in the audit trail for each checkout. The error messages found here can be helpful in diagnosing errors such as items that are not eligible to loan or incorrect barcodes.

Using the multi-volume request screen to correct an error

Occasionally when filling a single-volume request, you may accidentally scan the request ID barcode (e.g., EAST-322) rather than the item ID. If this happens, the NCIP check out will fail.

You can correct this error using the following steps:

1. Click “Fill multi-volume request.”

2. Use the trash can icon to remove the incorrect item.

3. Click “Add volume” and enter the correct item barcode for both the label and the item barcode.

4. Click “Fill multi-volume request.”

It is not currently possible to remove an item that has already been checked out in the LMS. An issue to allow removal of checked out items exists in the ReShare backlog: PR-1074 .

Receiving a multi-volume request

When a multi-volume request is shipped, the requester will receive the details of which volumes are included from the supplier. The requester will receive the request just like any other by scanning the request ID barcode on the pull slip. You will not need to scan or receive each volume individually.

NCIP accept item

If you have the NCIP accept item integration enabled, ReShare will create a temporary bib and item record for each of the volumes included.

• If all temporary items are successfully created, the request will be transitioned to the “In local circulation process” state and may be returned at any time.

• If one or more temporary items fail to be created, the request will remain in the “Shipped” state until the problem has been resolved.

• The item barcode for each temporary item record created will be <reshare_request_id>-<last 4 digits of the item_barcode> – for example, EAST-322-9157.

Known issue regarding item barcodes

Currently, it is not possible to print an individual pull slip for each volume that includes its unique item barcode. To circulate these items locally, you will need to manually construct and enter these barcodes into your circulation module. There is an issue in the backlog to address this problem: PR-1090.

Returning a multi-volume request

Returning a multi-volume request works just like a single-volume request. You can mark the request returned by patron or returned shipped by scanning the request ID barcode from the pull slip. You do not need to transition each item individually.

Completing a multi-volume request

After a multi-volume request is return shipped, the supplier can complete the request just like any other by scanning the request ID barcode on the pull slip. You will not need to scan or complete each volume individually.

NCIP check in

If you have the NCIP check in item integration enabled, ReShare will check in each item associated with the request.

• If all items are checked in successfully, the request will be transitioned to the “Complete” state.

• If one or items fail to check in, the request will remain in the “Return shipped” state until the problem has been resolved.
