Several entities in GOKb include the ability to assign alternate names. These entities include Organizations, Packages, and Titles. (The Platform record will be revised to include this functionality in release 3.5.) Alternate names should be added to address variant titles (e.g., a title with and without a subtitle), misspellings or minor errors, acronyms, foreign language translations, and other alternatives to the authorized title. Do not use alternate names to address major name changes, which should be handled with the creation of a new entity.

Adding a new alternate name

  • In GOKb, navigate to the appropriate record.
  • On a Platform or Organization record, navigate to the "Alternate names" tab. On a Title record, look for the "Alternate Titles" section of the "Title Details" tab.
  • Populate the new alternate name fields:
    • New alternate name: The new name you're adding
    • Locate: The country that this name is associated with (if any). This can be left blank.
    • Variant type: The type of variant (if applicable). This can be left blank.
  • Click add.

Renaming an entity

For each of these entities, the only way to change the authorized name is to add a new alternate name and make it the authorized name. To do this:

  • Locate the appropriate record and locate the list of existing alternate names.
  • Check to see if the authorized name you wish to apply is already present.
  • If not, add it according to the instructions above.
  • Once the correct authorized name is listed in the list of alternates, click "Make Authorized."
  • This name will become the new authorized name. The previous authorized name will be added to the list of alternates.
